The following information together with the information in our Fair Processing Notice details our privacy policy. Our website has a Secure Sockets Layer (SSL) certificate and it is managed by GoDaddy. The website will be secured via SSL data encryption standards. Any data entered on the website will be protected by being encrypted and securely stored. An SSL certificate is a digital certificate that authenticates a website's identity and enables an encrypted connection. SSL stands for Secure Sockets Layer, a security protocol that creates an encrypted link between a web server and a web browser. Places where features enable us Nicola D’Amelio Aesthetics (NDA) to obtain personal information from you via web page are encrypted by default. This data is housed in data stores in the United States. GoDaddy will store your information and will be responsible to protect this information whilst stored on their servers. GoDaddy will not use your information for any other purpose. This website is monitored and scanned by ‘GoDaddy Monitor and scan my site’ to protect against malware attacks and other cyber security threats. This website is also protected by a firewall service managed and monitored by GoDaddy.

We use the information that you have given us in order to reply back to you as you have requested and as agreed to get in touch to educate/ inform you about our Non Surgical Aesthetics Treatment, Skin Care products and treatments, Events, News and Education. We will not share this information with any other organisations or individuals unless you are happy for us to do so and have consented.

Where we have asked you for permission to keep you up to date with our services and you have agreed we will contact you at reasonable intervals to keep you up to date. Equally we may do so where you have previously been a customer. You have the right to withdraw consent at any point and can do so by contacting the clinic or clicking on unsubscribe in the communication received from our clinic.
How long is your data retained?
We will generally retain your data for six years after our services have finished, after which time it will be deleted or anonymised if it is no longer required for the lawful purpose for which it was obtained. However where the data is required to ensure your vital interests, an example of this is the treatment received, we will maintain this as legally required.

Terms and Conditions
Appointment Booking Fee
A £50.00 fee is required to secure any appointment, this is redeemable and deducted from the final cost of your treatment on the day. This fee is refundable as terms and conditions stated below.
The £50 fee is to secure the appointment date and pays for the Appointment itself (up to 1 hour) and all that is included and provided to you.
Appointment dates can be moved or cancelled if 48hours or more notice is given. No refund is provided for cancellations within 48hrs of appointment or no shows. A repeat £50 will be required to secure and rebook another appointment.
By booking your appointment you are agreeing to the above and our Terms and Conditions.
Altering Booked Appointments
You are able to alter your appointment date /time if you so wish.
Alterations of appointment date/time is available up to 48 hours before appointment.
Alterations appointment dates are at the clinic’s discretion depending upon medical suitability and availability. Altered appointments must be re booked within 1 month. The clinic will not take responsibility for altered appointment date suitability. Altered appointment date must comply with the original assessment and before and after care protocols in regards to the appropriate timing of treatment. If, by altering your appointment date, this is not achievable this will incur the £50 charge with no refund. A new Consultation will be required to be booked with new £50 fee.
When multiple appointments / or for example Consultation, Prescriber & Treatment Appointments have been booked an alteration to one appointment most likely will influence all other appointment dates due to protocols and in turn all may need to be rescheduled. Contact the clinic in these circumstances.
One alteration of appointment date is permitted using the existing £50 fee paid. For medical protocol reasons and/or excessive time passing between medical assessments, repeated altered date request will incur the £50 charge with no refund. A new Consultation will be required to be booked with new £50 fee.
Alterations within 48hrs of Appointment will incur the £50 charge with no refund.
You must inform the clinic prior to any appointment if you have had a change or addition in medication or health conditions. Your appointment may require to be postponed and a new assessment may be required. Please note our alteration/cancellation policy terms and conditions section. If notice is not given and treatment can not be provided upon the day, no refund will be provided.
Cancellation and Refund Policy
You are able to cancel your booked appointment if you so wish*.
We have a 48 hour notice cancellation policy.
A refund of the paid £50 Appointment fee is available for cancellations up to 48 hours before your Appointment date/time. 48 hours before the booked appointment and once the appointment has taken place this charge is non-refundable. Cancellations within 48hrs of Appointment will incur the £50 charge with no refund. No shows will incur the £50 charge with no refund. A new £50 fee will be required to book a new appointment date.
A deposit will be refunded to you upon request. This can take up to 10 working days to be credited back to your card.
Refunds will not be provided if you are deemed unsuitable for treatment due to the fact that you have: not read and/or have not followed the instructions contained within your Advice and Information Leaflet pack provided at your Consultation, withheld information when asked, completed your medical or consent forms incorrectly or have had changes to your medical health or medications and not informed the clinic prior to your treatment appointment as instructed.
For Consultation Appointment cancellations - the £50 charge is non-refundable if cancelled 48 hours before the booked appointment and once the Consultation Appointment has taken place. The £50 fee is the cost of the Consultation.
For Prescriber Appointment cancellations- the £50 charge is non-refundable if cancelled 48 hours before the booked appointment and once the Prescriber Appointment has taken place. If you decide after the prescriber Appointment that you do not wish to go ahead with your booked Treatment Appointment, your Treatment Appointment can be cancelled, as per our terms and conditions above, however all prior £50 fees paid are non-refundable as your Consultation and Prescriber Appointments have already taken place. The £50 fee’s you have paid are for the cost of the Appointments you have already attended.
If at any point it is deemed by the practitioner or prescriber that you are unsuitable for the treatment you are enquiring about/ booked and an alternative treatment is not suitable, then a refund of the paid £50 for the prescriber appointment will be provided, as per the clinic’s discretion.
For Treatment Appointment cancellations - the £50 charge is non-refundable if cancelled 48 hours before the booked Treatment Appointment and once the Treatment Appointment has taken place.
If you decide that you do not wish to go ahead with your booked Treatment Appointment, your Treatment Appointment can be cancelled, as per our terms and conditions above, however all prior £50 fees paid are non-refundable as your Consultation and Prescriber Appointments have already taken place.
If you decide upon the Day of Treatment that you no longer wish to have or continue with your booked treatment, you are free to do so; however will be charged the remaining fee for the full cost of the treatment.
Did Not Attend DNA or ‘No Shows’
To alter, reschedule or cancel any appointment please refer to our terms and conditions sections above. An appointment fee is required to book and secure all appointments as stated. If the appointment is cancelled within 48 hours of the appointment date, if you do not inform the clinic and do not attend your booked appointment/you ‘no show’ then the £50 appointment fee is non-refundable, non-redeemable and non-transferable as explained above. A new appointment date will require to be booked and a new fee paid to secure.
Late Attendance
Please arrive a little early or on time for your appointment. If you have any issues, please call the clinic, if possible, in advance, so we can review timescales. If you are more than 15 minutes late, we may have to cancel your appointment and you will have to rebook. Your paid £50 fee will be non-refundable, non-redeemable and non-transferable therefore you will have to repay another £50 fee to book another appointment time/date.

Face to Face Consultation
To book and secure a Consultation, a £50 non-refundable fee is required, payable at the time of booking, redeemable against the bookable clinic treatment , if booked within 1 month , or suitable home care range.
A consultation is required prior to all treatments and treatment will not be provided if this does not take place. This is a no obligation Consultation. Consultation Appointment does not include treatment and a separate Treatment Appointment requires to be booked as advised.
The Consultation Appointment fee is strictly non-refundable under any circumstances, by booking your Consultation Appointment and paying your fee, you agree to these terms and conditions. A consultation is part of your treatment where we assess if you are suitable. Consultation may/may not lead to the provision of a prescription and treatment. If you are not suitable or you decide against treatment the £50 fee is non-refundable but can be used on another suitable treatment/product discussed and assessed suitable for during this Consultation Appointment.
Treatment Suitability You may not be suitable for the treatment you are enquiring about. Information on our leaflets, treatment menu and price list makes it clear that your preferred option may not be provided if not suitable. Decisions are considered during consultation and are not based solely on the price or treatment menu. If you are deemed unsuitable you will not be provided with this treatment. If possible, you will be informed of alternative treatments more suitable for you and you may want to go away and think about or consider (MHRA Guide Appendix ASA). There are alternative treatments that can target the same concerns and these will be discussed with you so that you can make an informed decision. You will be informed and made aware of other alternatives before proceeding with treatments. (cpsa_toxins_standards_21.03.2018)
You will receive a medical consultation and assessment prior to any treatment given to assess your individual skin concerns, clinical indications, medical, physical, psychological health and suitability for treatment. No treatment is given without a prior consultation, assessment, agreed treatment plan and commencement of your treatment records.
A medical Assessment form will be completed. If it is deemed you are unsuitable, allergic or if you are planning for a pregnancy, planning for or undergoing IVF treatment, currently pregnant or breast feeding you will not be suitable for certain treatments, other than specific suitable options which will be discussed with you. You may not be suitable for any treatment that we offer and this will be discussed with you.
Patient must be 18 + year of age. Identification may be required if looks younger than 21. The clinic has the right to refuse the offer of treatment if believe the treatment is unnecessary or unsuitable.
Prescriber Appointment (up to 30 minutes) & Treatment Appointment booking (up to 1 hour)
To book and secure a Prescriber Appointment and Treatment Appointment
a £50 fee is required, payable at the time of booking the appointments, redeemable against a prescriptible medication treatment, if booked within 1 month.
Prescriber Appointment booking (Up to 30 minutes)
Face to Face Prescriber Appointment required every 6 months, or before, if new treatment or significant medical /medication history changes.
To book and secure a Prescriber Appointment (and separate Treatment Appointment), a £50 fee is required, payable at the time of booking, redeemable against a prescriptible medication treatment, if booked within 1 month.
For treatments that require a Prescription Only Medication POM then a Face to Face Prescriber Appointment is required after your Consultation and before your Treatment. Refer to your advice & information leaflet pack. A Prescriber Appointment is required as booked for you prior to treatment. Treatment will not be provided if this does not take place. Prescriber appointment cannot take place upon the day of treatment. This needs to be ideally 2 weeks before your booked Treatment Appointment date to allow for the arrangement process of your prescription only medicines POMs.
Treatment Appointment booking (Up to 1 Hour) £50
To book and secure a Treatment Appointment (and separate Prescriber Appointment), a £50 fee is required, payable at the time of booking, redeemable against treatment, if booked within 1 month.
Medications used off licence will be discussed with you and as per your Advice and Information Leaflet Pack.
Treatment must be agreed at consultation and consented for. Please note we are unable to offer additional treatments if these are different and have not been assessed or consented for. This is in accord with legislation and for safety. If necessary any additional treatments will be arranged at a separate appointment after appropriate consultation and discussion for suitability. This of course will come with an additional cost.
If you are suffering from any new conditions, symptoms, an infection, cold sore or feel one coming on, or have been prescribed any new medications and or antibiotics, antivirals please contact the clinic prior to your appointment. You may not be able to have the treatment as originally planned. Please note our alteration cancellation policy, if you attend your appointment without prior disclosure your appointment fee will be non-refundable and non-transferable.
If you have a cold sore, or feel the beginnings of a cold sore, you will not be able to have treatments such as for example lip filler, chin filler, nose filler, nasolabial folds, chemical peel treatment, micro needling. Please advise the clinic if you think you need to cancel your appointment due to a cold sore.
If at any stage during your aesthetic or wellbeing journey, it is determined that you are unexpectedly unsuitable for the treatment planned, this will be discussed and explained to you and the treatment will not go ahead for safety and welfare reasons.
Depending upon the circumstances and the reason for such unsuitability and the stage of the journey, it is the clinic’s discretion as to whether the £50 fees /or full treatment cost is refundable or not. These fees may be non-refundable and non- redeemable due to the costs incurred as above. However, an alternative treatment may be suitable and depending upon the circumstance the £50 fees may be redeemable against the cost of an additional consultation and alternative treatment. If it is deemed not redeemable against the alternative treatment, then a new Consultation fee and Treatment Appointment will require to be booked and the new treatment paid for in full.
Review Appointment booking(up to 30 minutes) FREE
If deemed required, this appointment is 2-3 weeks 14-21 days after your treatment appointment. We have the right to refuse treatment if you are unable to attend a review appointment as necessary. This is part of the treatment plan and is for best results and safety.
Clinic Rules
No under 18, children or babies allowed. This is for insurance and health and safety reasons. You will unfortunately not be allowed access into the clinic. Please contact the clinic to re arrange your appointment. Please be mindful of our amending & cancellation policy.
Off Road Parking is available outside both clinics. Please be mindful of residence.
Sickness / Unwell / new Symptoms, Conditions, Medications.
Please refrain from visiting the clinic or attending for your appointment if you are suffering from any of the below:
Colds, Flu Like Symptoms, Covid19 Symptoms, positive test or been in close contact,
Temperature of feeling feverish
New cough
Sore throat
Shortness of breath
Flu-like symptoms such as fatigue, headache
Nausea or Diarrhoea
Chills or shivering
Muscle pains or rash
Loss of taste OR smell
Body Rash Spots or Bumps,
Diarrhoea Nausea or Vomiting (or household has D&V) (must be symptom free for 48hours)
Please call the clinic and we will reschedule your appointment.

Before and After Care and Advice Compliance
Ensure you follow your before and after advice provided to you at your Consultation Appointment and contained within your Leaflet Pack provided to you. If your subsequent appointments or Treatment Appointment requires to be cancelled or postponed due to noncompliance, fees will be non-refundable and non-transferable. A new £50 fee will be required to book a new appointment date.

For all non-urgent or booking matters please call or direct message the clinic in working open hours and we will be happy to assist you. Please note messages will be answered the following working day in opening hours. Please do not call the clinic out of hours other than if you have had treatment and it’s deemed a medical emergency. For emergencies call the clinic 24hours 365 days a year. As explained to you during your Consultation and Treatment Appointments. Please refer to you Advice and Information Leaflet pack.
Price Enquiries

Prices are as advertised. Discussed at your Consultation. All prices are a starting from guide price and are subject to consultation and assessment. Please remember you are unique, no two faces are the same and treatment is subject to a face to face medical consultation, assessment and holistic suitability. For certain treatments the Consultation, Prescriber Appointment (as necessary) and Review Appointment (as necessary) are included in the treatment price. For other treatments the Consultation is priced separately and is a standalone appointment being non-redeemable against retail products or future treatment.
Due to Advertising Standards Authority (ASA) there are advertising laws regarding prescription only medicines (POM) . Please contact the clinic directly and we will be happy to help.
As explained at your Consultation and detailed within your Advice and Information Pack some of the treatments and products that you maybe enquiring about or undergoing are non-surgical cosmetic procedures, medically led involving prescription only medications and/or medical devices.
Remember you are individual and unique and this is not a ‘one treatment / product suits all’ service. You are unique for a reason and we want to keep you that way. You may require more or less medication, product or time than other patients, therefore prices for treatments may vary from patient to patient. The total price for treatment will be provided at your Consultation, subject to a thorough medical (and prescribing if applicable) assessment.
Payment
As documented above a booking fee is required to book and secure certain appointments.
Payment/ remaining balance payment is due in full before treatment commences.
Via ANS website using their secure URL payment method which uses Stripe and also has the facility to hold card details in order to make payments. Full card details are not stored or visible to ANS and they use Stripe to process all payments. Via Stripe secure link forwarded to you. Please note it is your responsibility prior to making any payment to ensure that you are happy to do so. Via Square terminal in clinic, over the phone via the secure virtual terminal app, or via the secure link forwarded to you. Please refer to Square Stripe ANS terms and conditions and privacy policies before making any payments. For any link attached within a text or email it is your responsibility to check legitimacy of such prior to opening, entering details and making any payments. Please contact the clinic if you have any queries to discuss prior to actioning any of the above.
Documentation
As discussed and explained to you at your Contact Consultation and Consultation I am required to store your personal information and treatment journey. To create a Consultation Appointment I will need to create a patient record to store your personal data and information. You will be asked to confirm verbally and then sign a consent form in agreement to this. Unfortunately, I will be unable to offer appointments, services and or treatments if you do not agree to this.
As a Registered Healthcare Practitioner I am obliged to complete clinic and treatment records and consents, document our agreed plan of care and appointment outcomes. This is for reasons as stated above, for safety, for continuation of your care, for legal and insurance compliance reasons and to uphold my professional registration. As documented within your before and after advice leaflet pack and consent forms if you do not agree to such, appointments and treatments will not be permitted or provided.
Your information is securely stored. We hold necessary information to be able to provide you with any of the services described above and to keep you up to date with our services (where you have asked for us to do so). Personal identifiers, contacts and characteristics and for example such as, your name, address, date of birth, medical history and medication history (where applicable), contact details, next of kin (NOK) and general practitioner (GP) details, previous treatment details.
I am expected to take before and after photos / videos of your face/neck/head area including the treated area. You will be asked to sign a consent form in agreement to this. Unfortunately, I will be unable to treat you if you do not agree to this.
We will retain the selection of photographs and/or video of your treatment in order to ensure the highest quality of service and for insurance protocol. We will not transfer this to any other third party without your permission, unless you agree we may use such media for our marketing purposes.
Your clinic records, data, treatment photo and videos are stored upon the Aesthetic Nurse Software ® (ANS) System and are retained for as long as legally required and in accord with insurance policy.

Consenting to Treatment
Following your Consultation and prior to treatment being undertaken, you will be asked to read and sign your treatment consent forms. At your Consultation, you are provided with a Read Only Treatment Consent Form contained within your Advice and Information Leaflet Pack, to read prior to your treatment booking/treatment date. These are explained and read during your Consultation, then taken away by you to read in full prior to your treatment appointment as instructed and as our terms and conditions.
GDPR
All of the personal information data we gain and process about you is provided to us directly by you with your consent. We do not actively search for any of your data. Your data is provided to us, by you, when you make initial contact with the clinic to enquire or book appointments. Your data is then provided to us by you to be held by us with your verbal and written consent. For personal data that you enter upon our website within the subscribe and enquiry functions please refer to our Privacy Policy.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing your information is your consent. You can remove your consent at any time. You can do this by contacting Nicola D’Amelio Aesthetics. However please note by not providing consent or removing your consent, depending what relates to, may result in treatment or care no longer being able to be provided.
You may request details of personal information which we hold about you under the General Data Protection Regulation (GDPR). If you would like a copy of the information held on you please write to the clinic.
If you believe that any information we are holding on you is incorrect or incomplete, please contact the clinic. We will promptly correct any information found to be incorrect.

Sensitive personal data- During your Consultation or before having a Treatment, It would benefit you to notify us of any health condition, disability, treatment history and/or personal information relating to your private life that may impact on the services we offer. This will allow us to take reasonable steps to accommodate your needs or requirements and to ensure safe treatment. We will require your explicit consent to process this information, unless the processing of this data is deemed to be in your ‘vital interest’. We use your information to provide you with Health Care services and share your information with other organisations involved in your care. In cases where we would like to share information with other healthcare providers or practitioners, for their recommendation on treatment, or opinion on symptoms, you are asked to sign your consent form at your Consultation which details this for permission.
We would like to use your name, contact details and email address to inform you of services that may benefit you, with your consent only. This may include seasonal offers, news about the clinic, new treatments available, events that may interest you etc..

How long is your data retained? - We will generally retain your data for six years after our services have finished, after which time it will be deleted or anonymised if it is no longer required for the lawful purpose for which it was obtained. However where the data is required to ensure your vital interests, an example of this is the treatment received, we will maintain this as legally required.

Our use of your data will be to allow us to: supply, provide and document our services provided to you as you have consented and we have agreed as your plan of care, providing healthcare professionals with information about treatment where this is important and /or vital to your health and /or treatment outcome and results, take payment for services you have agreed to and received, debt recovery, managing and/or monitoring your record account, auditing, statistical analysis. We will only use your personal data for marketing purposes where you have agreed with us we can do so in advance. For communication to you as you have agreed in advance for example getting in touch with you to enquiry about our services. To reply to a message you have sent to the clinic, therefore providing your contact details. We use the information that you have given us in order to reply back to you as you have requested and as agreed to get in touch to educate/ inform you about our Non Surgical Aesthetics Treatment, Skin Care products and treatments, Events, News and Education. The processing of your data with consent is also necessary for the performance of the treatment plan you entered with us.
We will not share this information with any other organisations or individuals unless you are happy for us to do so and have consented other than as contained within this policy and or in an emergency.
We have various methods of payment you can choose from to pay us for our services that we have provided to you. We do not hold or store your payment details in clinic; however payment systems are used which will require your payment details input. Payment methods see Payment section above.
Where you have selected to purchase our services on credit we will also hold information such as payment history, default details and credit history.
We will hold and store your appointment records as agreed by you in your signed consent.

Environmental issues
We do not issue refunds for environmental acts such as an event outside of human control such as weather, extreme weather, sudden floods, earthquakes, or other natural disasters, for which no one can be held responsible. This also includes weather-related issues such as snow, ice, floods etc. If we choose to cancel a clinic appointment then we are not liable for any loss resulting to the customer as a result of this cancelled clinic. We will make all reasonable effort to replace cancelled clinic appointments by arranging an alternative date but this cannot be guaranteed.
